Executive Assistant (for the Founder)

 

Do you get energy from proactively supporting leadership and elevating teams? Are you super organized but also able to be flexible when all plans go up in smoke? Are you ready to be an integral member of an innovative, creative, and world-wide executive team?  

Specialized is searching for a focused and friendly individual to join our team as an Executive Assistant to our Founder and offering support to the broader organization. The position is based at our global headquarters in Morgan Hill, CA and reports to the Founder’s Executive Assistant.

HOW YOU’LL MAKE A DIFFERENCE

  • Assist with managing the Founder’s global calendar, coordinating time zones in the USA, Singapore, Europe, etc. 
  • E-mail triage for the Founder, tracking outstanding action items
  • Ability to build presentation collateral for team meetings
  • Create agendas, take and distribute notes, and follow up on action items
  • Booking domestic and international travel
  • Concur expense reconciliation and report approvals on behalf of the Founder and advisors
  • Effective communications with cross-functional teams around the globe
  • Demonstrate proactive approaches to problem-solving with strong decision-making capability
  • Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance
  • Occasionally provide support to other teams
  • Provide full support to the Founder in the absence of his Executive Assistant

WHAT YOU NEED TO WIN

  • Bachelor’s Degree or equivalent experience
  • 3-5 years of administrative support with a C-level executive is strongly preferred
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, Adobe Pro, PowerPoint), Microsoft Teams, Concur, Workday applications
  • Extensive experience in booking domestic and international travel
  • Must have strong organizational skills and attention to detail
  • Passion for bringing teams together and supporting a strong culture
  • Demonstrable scheduling and prioritization experience is a must
  • Ability to think outside the box with a sense of urgency
  • Possess a high degree of trustworthiness, discretion and confidentiality
  • Available for administrative support on weekends when needed

Pay

Below is a summary of compensation elements for this role at the company if based in the following locations:

California Base Pay Range: $55,228-$91,126

At Specialized, your base pay is one part of your total compensation package and will depend on your work experience, skills, certification, and location.

  • This role will be based in Morgan Hill, CA and will require a minimum of 4 days per week in the Morgan Hill office & is subject to change based on the Founder’s needs
