Job Description



Job Title: Site Manager (Resident Manager)

Duration: Full Time, Year Round

Reports to: Executive Director, Assistant Director, Facilities Chair


Position Description:

The site manager plans and coordinates the development, maintenance, and repair of the camp’s buildings, grounds, equipment, and other facilities consistent with the mission and established policies and procedures of the camp. Camp Site Management is an ‘on-call life’ responding to and dealing with any issues that arise within a camp setting and its buildings and/or grounds. This could range from plumbing, electrical, and HVAC issues, to more specific problems. The Site Manager is also responsible for responding to work orders and requests filed by camp staff members and guests (in our rental season).  


Requirements:

A camp facilities manager will be required to clearly communicate with campers and staff, providing timely updates and resolutions to maintenance requests. Of course, knowledge of various maintenance and repair skills will be mandatory; potentially making repairs with limited support if the camp happens to be in a remote location. Site managers may be responsible for cleaning, grounds-keeping, and other daily chores, as well as making larger or more pressing repairs potentially under time pressure to keep the camp running smoothly.



Specific Job Responsibilities


Pre-Camp & Camp Season

  • Organize 2 Work Weekends in spring and in fall.

  • Clean and prepare all camp buildings for staff arrival.

  • Have all camp vehicles cleared through adot inspection.

  • Prep the pool and have it ready for staff arrival.

  • Complete Archery courses and teach archery courses.

  • Participate in Site-Based Team meetings.


Year Round Responsibilities

  • Responsible for upkeep maintenance management system (prevention, correction, and construction).

  • Oversee the purchase and inventory, use, and care of all maintenance equipment and supplies.

  • Maintain our system for regular maintenance and upkeep of camp buildings and grounds, including routine duties such as mowing, painting, etc.

  • Schedule for routine maintenance and vendor contracts on equipment and services including trash removal, recycling, sewer, water, etc.

  • Manage natural resources of the camp including forest and water quality management to ensure protection and proper utilization occurs.

  • Supervise, and coordinate staff/hired help engaged in the maintenance and improvement of the camp’s buildings, equipment, and other facilities.

    • Train and supervise camp staff in the use of camp equipment including maintenance and program equipment as appropriate (shop/power tools/vehicles).

    • Plan and assign work projects and schedules for volunteers attending work weekends and volunteers.

    • Supervise work, review assignments and effectiveness of volunteers. 


  • Assist in preparing the maintenance portion of the annual budget in consultation with the Executive/Assistant Director and facility committee. 

  • Monitor expenditures to ensure compliance with the budget.

  • Purchase equipment and supplies; maintain appropriate records, warranties and inventory.

  • Perform all duties in accordance with prescribed regulatory compliance guidelines, including local, state, and federal guidelines as well as American Camp Association accreditation standards.  

  • Respond to emergencies on physical plant and site.

  • Responsible for obtaining appropriate licenses, permits, approvals from local and state regulatory agencies.

    • Conduct initial and end-of-season inventory.

    • Store equipment for safety.

    • Develop a schedule for checking the physical plant and equipment for safety, cleanliness, and good repair.

  • Provide a monthly update on maintenance to the Executive/Assistant Director and Maintenance Committee on the last Friday of each month.

  • Facilitate Air-BnB maintenance and manage cleaning company during the off season.
